Custom Yearbook Specs
If you’re building your yearbook in Canva, InDesign or other desktop software, here’s some formatting info:
File Settings
Yearbook orders must be PDF files. JPEG yearbook files are not supported.
Page dimensions are 8-3/4 x 11-1/4 with 1/4” bleed (so printed pages are 8-1/2 x 11)
Cover can (and probably should) be a separate file.
Book inside content should be one file, single pages, NOT Spreads*
PDF files should be PDF/X-4 compliant.
Embed or outline fonts in your PDF file.
Embed images in your PDF file.
PDF files should not contain bookmarks, comments, invisible objects, or metadata.
PDF/X-4 supports transparency, but for optimum and predictable results, layers and transparencies should be flattened in the PDF file.
Do not include crop marks or other printer’s marks.
Each student/staff member in the book should have a photo with only them (group shots don’t count) and their name directly under the photo.
You must supply a separate list of all students and staff, ideally in Excel with first name, last name and optionally grade.
Spine Size & Cover Calculator
Download this file and enter your page count for spine and cover dimensions. Make sure you pick the proper tab at the bottom: “HARD COVER” or “PERFECT BOUND” for soft cover.

*If for any reason you must provide spreads or single pages, they must be clearly numbered in order with leading zeroes, 001-yearbookname.pdf , 002-yearbookname.pdf or if spreads 002-002.pdf (can optionally have yearbook’s name). The numbers do not have to match the printed page number (004.pdf could actually say page 5 on it, that’s ok as long as they’re in order)
