Overview
This Privacy Policy describes the information collected by Yearbooker / FC Yearbook ("YB," "we," "us" or "our") through our mobile applications and website, how we use it, and the limited circumstances in which it is processed by the service providers that help us run the yearbook. FC Yearbook is a digital copy of a yearbook your school has already published, with the signing page that classmates write in for each other.
We Collect Limited Information with Our Applications.
When you download and use our mobile applications, we don't require you to provide any personally identifiable information and we don't collect any information about you or your device, except we collect:
(i) non-personal information about how the mobile application is used, such as the screens viewed and actions taken within the mobile applications, which is used solely to enhance and improve our applications;
(ii) upon receiving your personalized book ID code (the "Code"), we match the Code to the location of your yearbook photograph in the yearbook, which identifies you also by first and last name. Except for purposes of serving as an online yearbook platform, we do not collect, store or share your first and last name or photograph for any other purpose;
(iii) your account: a sign-in name, a password (stored only in scrambled form), and an email address, which we verify before a yearbook is opened. For a student below the messaging age set by the school, the email address is a parent's or guardian's, and that parent or guardian decides whether the student may send and receive signing messages. Email addresses are used to send the Code, to verify the account, to ask a parent or guardian for that decision, and to send receipts and shipping notices for printed yearbooks you order. We don't share or disclose those email addresses except as described in Information Sharing and Disclosure; and
(iv) the signing messages you write to classmates in a yearbook, and the ones written to you. A message is seen by the classmate it is written to, is kept in that yearbook, and, if your school orders printed yearbooks with signing pages, may be printed in the copy of the person it was written to.
We Comply with the Children's Online Privacy Protection Act
Our website and mobile applications comply with the Children's Online Privacy Protection Act ("COPPA"). We don't knowingly collect personal information from children under the age of 13 in violation of COPPA. Where a school makes a yearbook available to students under 13, the school provides their names and photographs as part of the yearbook it published, and signing messages are turned on for such a student only with a parent's or guardian's approval. If in the event that a user identifies himself or herself as a child under the age of 13 through a support request, we will not collect, store or use, and will delete in a secure manner, any personal information of such user beyond what appears in the yearbook the school published.
How We Build Your Yearbook
Your school (or its yearbook printer) gives us the yearbook pages and the list of names. To make each portrait tappable, we process the portrait pages to find where each photograph sits on the page and which printed name goes with it. Part of that processing may be done by an automated image-and-text analysis service operating under contract to us. That service receives only the yearbook pages, which the school has already published, is not permitted to use them to train its models or for any other purpose, and does not keep them beyond a short processing window. The result is the position of each photograph; the service is not given your Code, your account, or your messages. Our staff review the result and correct it by hand where needed.
How Signing Messages Are Reviewed
Before a signing message reaches the classmate it was written to, it may be reviewed so that nothing hurtful is delivered into a school yearbook. Review happens in stages, and a message that is held at any stage is seen only by a person on our team, who decides whether it is delivered:
(i) Every message is checked automatically on our own servers against a list of words and phrases. This check never leaves our systems.
(ii) While a person has a message waiting for review, their other messages are held as well until a decision is made.
(iii) If your school has chosen this option for its yearbook, a message that passed the first check is also read for meaning by an automated content-review service operating under contract to us, so that cruelty with no bad word in it can still be caught. The service receives only the text of the message, with no names, Codes, photographs or account details, is not permitted to use it to train its models or for any other purpose, and does not keep it beyond a short processing window. It answers only whether the message should be held for a person to read.
(iv) Anyone can report a message they received, and a classmate can be blocked so that no messages pass between you. Reports are read by a person on our team.
Review decisions are made by people. Automated checks only decide whether a person needs to look.
School Videos and Content Hosted Outside the App
A school may add a video, such as a year-in-review, to its yearbook. The video is chosen and provided by the school, and plays inside the app from the hosting service the school placed it on (for example, Vimeo). While it plays, that hosting service receives the same connection information any video player sends, such as your device's internet address, and may set its own cookies; its privacy policy governs that. The school is responsible for the video content, its link and hosting. Playing a school video does not open a web browser: our mobile applications do not allow open browsing of the internet.
Printed Yearbooks and Payments
If you order a printed yearbook, our payment processor (Stripe) handles your card. We never see or store your full card number. We receive the name and shipping address you enter, which we pass to the printing company that makes and ships the book, and we keep the order record (what was ordered, where it was shipped, and the amount) as required for billing and to answer questions about the order.
Your Copy on Your Device
When you open a yearbook, the app may store a copy of its pages and signing messages on your device so that you can read it without a connection. That copy stays on your device until you sign out, delete the app, or clear its data.
Deleting Your Account
You can delete your FC Yearbook account at any time, from the app or at https://app.fcyearbook.com/delete-account. Deletion removes your account with us: your sign-in, name, email address, and password. If the account belongs to a student below the messaging age, the parent or guardian on file receives an email and approves the deletion. Deletion does not remove your photo or printed name from the yearbook, which your school published, or messages you already sent, which remain in the books they were written in. Records of printed yearbooks you purchased are kept as required for billing. We keep a record that the account was deleted, with no name or contact details, as proof that the request was honored.
Information for Canadian users
We may store, process and access your personal information in the United States for the purposes of creating and publishing your yearbook, undertaking quality assurance, and providing technical support.
When You Request Support, You May Send Us Email
We allow users to contact us if they have support questions about use of our mobile applications. If you submit a support request, we may receive your email address and other information you provide related to your support request ("Support Information"). We use Support Information only for the support for the internal operations of our website and Apps as provided under Section 312.2 of the COPPA rules effective July 1, 2013.
Information Sharing and Disclosure
We use your email address only for the purposes listed above. We use Support Information only for the support for the internal operations of our website and Apps as provided under Section 312.2 of the COPPA rules effective July 1, 2013. We use your Code to identify the location of your yearbook photograph, which also discloses your first and last name and photograph. We don't rent or sell your information, and we share it only as follows:
(i) With the service providers named in this policy, each only for the purpose described and under a contract that forbids any other use: our payment processor and printing company for printed yearbooks, the hosting services for push notifications and email, the automated analysis services used to build the yearbook and to review signing messages, and our support providers for the purpose of providing support to you.
(ii) We may share your email address and/or Support Information: (a) to protect the security or integrity of our website and mobile applications, (b) to take precautions against liability; (c) to respond to judicial process, or (d) to the extent permitted under other provisions of law, to provide information to law enforcement agencies or for an investigation on a matter related to public safety; and where such information is not used for any other purpose, all in compliance with Section 312.5(c)(6) of the COPPA rules effective July 1, 2013.
A Note about Push Notifications
We may send push notifications if the user opts in to receive them, for example when a classmate signs your yearbook. On iOS, Apple's push notification service, and on Android, Google's Firebase Cloud Messaging, automatically provides us with a token which is identified to a specific device, enabling notifications to be sent to that device through that service. The token is used only to send push notifications. The token is not disclosed and is not used for any other purpose or combined with any other information. Notifications can be turned off in the app or in your device's notification settings.
Cookies
The FC Yearbook apps, and the pages of our website that students reach from the app or from printed QR codes (such as Help, this policy and Privacy & Safety), use no analytics or advertising cookies.
On our website’s general information pages (for example the home, pricing and school quote pages), we use Google Analytics and Google Ads to count visits and to see whether our ads lead to school inquiries — only if you click Accept on the cookie banner. Until you accept, nothing from Google loads and no Google cookie is set. If you accept, Google sets cookies (such as _ga and _gcl_au) that identify your browser to Google. Google signals and ad personalization are turned off, so this information is not used to build advertising profiles or remarketing audiences.
You can change your choice at any time with “Cookie settings” at the bottom of those pages; declining deletes the Google cookies. Your choice itself is remembered in your browser’s local storage, not in a cookie. Most browsers also let you block or delete cookies.
Links to Third Party Sites
We may provide links and/or connections to third-party web sites or services from our website. Our mobile applications do not allow open browsing of the internet; the only outside content shown inside them is the school-provided video described above. We are not responsible for the privacy practices or content of third-party sites.
Changes to this Privacy Policy
We may amend this Privacy Policy from time to time. Use of information we collect is subject to the Privacy Policy in effect at the time such information is collected. If we make changes in the way we use your email address, we will notify you in advance of posting by email. Such modifications will become effective on the date set forth in the email.
